Set Up Rostering through SFTP with MingaSync

Set up Minga to receive automated roster file uploads through SFTP from your Student Information System.

You can set up SFTP rostering by requesting an SFTP connection from the Minga Support team, completing the Connection Request, then configuring your Sync Settings and class lists in MingaSync.

This guide will walk you through requesting access, submitting required details, and preparing supported roster files. By the end, you’ll be able to keep students, teachers, and class rosters updated through scheduled SFTP uploads.

Permission Level Required: Owner | District Manager

What is SFTP?

Secure File Transfer Protocol (SFTP) is a secure method to transfer files over the internet using encryption (including AES) so roster data is protected during transfer.

Rostering with SFTP using MingaSync

You can keep Minga roster data current by uploading supported roster files to Minga’s SFTP location on a scheduled basis.

Step-by-step Guide to Requesting and Enabling SFTP Rostering

  1. Email [email protected] to request an SFTP connection.
    ○ Include the name of your district so the setup is tied to the correct organization.
    ○ Include the name of the school you are rostering so the connection maps to the correct site.
    ○ Include the name and email address of the district contact responsible for SIS integrations, so Minga has an owner for follow-ups and configuration.

  2. Complete the Connection Request sent by the support team.
    ○ Fill out every field in the Connection Request so the integration team can create your SFTP destination and mapping.
    ○ Email the completed Connection Request back to [email protected] to initiate setup.

  3. Confirm your initial sync and review roster data.
    ○ After setup, integration specialists will set up your school and run a manual sync to populate students, teachers, and class rosters.
    ○ Review the initial import in Minga to confirm your expected users and classes appear.

  4. Configure Sync Settings and class lists in MingaSync.
    ○ Open MingaSync and set your Sync Settings to match your rostering schedule and file delivery process.
    ○ Configure your class lists so courses and sections display in the way your staff expects.

Supported File Formats and Required Files

We recommend using industry-standard formats, such as OneRoster or Clever. You can check out the formatting by visiting the following guides:

We recommend sharing the following:

In Clever format, it's encouraged that they break out the files they send like this:

  • schools.csv

  • students.csv

  • teachers.csv

  • staff.csv

  • sections.csv

  • courses.csv

  • enrollments.csv

In OneRoster 1.1 format, this is how files are broken out:

  • manifest.csv

  • academicSessions.csv

  • categories.csv

  • classResources.csv

  • classes.csv

  • courseResources.csv

  • courses.csv

  • demographics.csv

  • enrollments.csv

  • lineItems.csv

  • orgs.csv

  • results.csv

  • resources.csv

  • users.csv

Troubleshooting

Issue: Rosters do not populate after sending the Connection Request.
Solution: You can confirm setup status by checking that you emailed the completed Connection Request back to [email protected], then validating that a manual sync has been run to populate students, teachers, and class rosters.

Issue: Imports fail because the required CSV files are missing.
Solution: You can verify your export contains the full set of files for your chosen format using the “Supported file formats and required files” table above.
