The most efficient way to use Minga is to have students initiate their own passes. This represents 90-95% of typical hall pass usage and keeps the administrative burden off the teacher.

Step-by-step Guide to the Classroom Workflow

  1. Student asks permission: The student asks the teacher for verbal permission to leave for a specific reason, such as using the restroom.

  2. Teacher gives verbal approval: You respond with "Yes, go ahead and create your hall pass" or "No."

  3. Student creates pass: The student opens the Minga app or app.minga.io on their device, clicks My Tools, and selects Create a Hall Pass.

  4. Teacher confirms: The student shows the active countdown timer on their device to you before departing.

  5. Monitor activity: You can see all active passes at a glance on your Hall Pass Dashboard.


How Students Create Passes

When a student has been granted verbal permission to use a Hall Pass to leave the classroom, they can create their own Hall Pass. Teacher approval can be required for specific Hall Pass Types.

From within Minga, students click My Tools > Create a Hall Pass. The pass will be visible on the student's Digital ID on their own device (phone, Chromebook etc) with a countdown timer or from a staff member's device in their Hall Pass Dashboard.

How to Monitor Hall Passes

You can manage all student movement from a central location to ensure students return on time.

Use the 'My Passes' filter on the Hall Pass Dashboard to track your students. When a request appears, click Approve or Deny via the pop-up or dashboard. Click End to finish any active pass.

From MyClass, active passes will appear in the Active Hall Pass section at the top, and you will get a pop-up notification to approve or deny hall pass requests.

Assigning Hall Passes to Students

You can assign Hall Passes to your students, especially for hall pass types that cannot be created by students, such as being sent to the office or a scheduled appointment.

  1. Select MyClass from the main menu.

  2. From the User list dropdown, select your class roster.

  3. Select the Student(s) who need a pass by clicking the checkbox on their profile card.

  4. Choose the Hall Pass category and select the specific Pass Type (e.g., Restroom, Library).

  5. Select the Pass Duration in minutes and add an optional Note to student.

  6. Click Assign to activate the pass immediately.

Scheduling Passes for Later

You can schedule student passes ahead of time to avoid interruptions during busy lab or testing periods.

  • When creating a pass, check the box for Schedule for later.

  • Set the Start Date and Start Time.

  • The student will receive a push notification when the pass is created and again one hour before it activates


Managing No-Pass Lists and No-Party Groups

Minga includes automated safety features to manage student behavior. These lists are created and managed by users with the role of Owner, Manager, or Hall Pass Manager.

  • No-Pass List: Students on this list are restricted from having any hall passes.

  • No-Party Groups: These groups prevent specific students from being out of class at the same time. If one member of the group has an active pass, no other members can activate a pass until the first student returns.

Can students leave the classroom without their devices?

Yes, students can depart with or without their devices. If they leave their device behind, you can monitor their pass status and countdown timer directly from your Hall Pass Dashboard.

How do hallway monitors know if a student has a valid pass?

Hallway monitors can access the Hall Pass Dashboard on tablets or cell phones via the Minga app to see all active passes on campus. Additionally, students who have their phones can show their Minga Digital ID, which displays the live, flashing hall pass.

What happens if a student is on a "No-Party" list?

If a student is in an active No-Party Group, the system will block them from creating a pass if another group member is already in the hallway. You will see a "No-Party Group" warning if you attempt to assign them a pass manually.
