Create an Automatically Scheduled Report for your SIS

Automate your tardy and attendance reporting

For schools that need to have attendance and tardy data logged in their Student Information System (SIS), manually pulling reports can add a significant administrative load. Make your life easier by setting up automatic reports to be delivered directly through SFTP or an emailed CSV.

What We Export

Mingaโ€™s reporting engine allows you to customize the data points included in your exports. The most common reports used to reconcile data in an SIS are the Behavior History Report (for tardies) and the Check-in History Report (for attendance).

This is a local identifier assigned directly by your specific school in your SIS

SIS ID

This is the unique identifier that your SIS uses to identify a specific record

Behavior

The name of the behavior in Minga.

Category

The category of behavior (Guidance or Praise).

Assigned by

The name of the User who assigned the behavior.

Staff ID

The ID number of the Staff member who assigned the behavior.

Date

The date the behavior was assigned.

Time

The time the behavior was assigned.

Last Modified

If the record of the behavior was modified or edited, a record will show in this field.

Important Technical Requirements

Before setting up your schedule, consult with your IT team or System Administrator to determine:

  1. Required Fields: Which columns are mandatory for your SIS import?

  2. File Format: Does your SIS require a specific header row or date format?

  3. Connection: If using SFTP, you will need the Host URL, Port, Username, and Password for your secure server.

Example Tardy File Template

Below, we have provided a mock-up of the headers/columns needed to import into your SIS:

Note: The columns highlighted in green (Section ID, Period ID, Term ID, Section Number, School ID) require an active Bell Schedule to be set up in your Minga Instance.

The column highlighted in yellow (Behavior Code) is customized in the scheduled report.


Schedule a Report

Follow the steps below to create a scheduled report to be automatically delivered to your email inbox or to an SFTP server.

Step-by-step Guide to Scheduling a Report

  1. Open Settings from your main Minga dashboard.

  2. Select the Scheduled Reports tab.

  3. Click the Schedule a Report button.

  4. Report Name: Enter a unique name (e.g., "Daily Tardy Export - Aeries").

  5. Report Type: Select your desired report (e.g., Behavior History Report).

  6. User List (Optional): Filter the report to only include specific students (e.g., a specific Grade level).

  7. SIS Formatting: * Aeries: Select this to auto-format the file for Aeries tardy reconciliation.

    • Other: Select this for all other systems to receive a standard CSV.

  8. Behavior Code (Optional): Enter the specific attendance code used by your SIS (e.g., "T" for Tardy or "L" for Late).

  9. Frequency: Choose Daily or Weekly.

  10. Time: Select the time you want the report generated (we recommend a time shortly after the school day ends).

  11. Delivery Method:

    • Email: Enter the email address of a registered Minga user.

    • SFTP: Enter your server credentials (Host, Port, Path, Username, Password). This is the most secure method for automated SIS syncing.

  12. Click Create.


Setting Up SFTP Delivery

SFTP is the most secure method for automated data syncing. Minga does not host an internal SFTP server. You must provide a destination server managed by your school or district.

To set up SFTP delivery, you will need the following credentials from your IT department:

  • Host URL: The address of your secure server.

  • Port: Usually 22 for SFTP connections.

  • Path: The specific folder where the file should be dropped.

  • Username & Password: The credentials created specifically for the Minga connection.

๐Ÿ’Ž Tip: Always run a "Test Connection" if available to ensure your firewall is not blocking Minga's IP address.


FAQs

Can I send the automated report to someone who doesn't use Minga?

You can only send automated reports via email to users who are registered with a Minga account. If you need to deliver data to an external party, we recommend using the SFTP delivery method to a shared server.

What is the difference between the Aeries format and the standard CSV?

The Aeries formatting option automatically renames headers and organizes columns to match the specific requirements for Aeries tardy reconciliation. The standard CSV option uses Minga's default headers and is compatible with most other Student Information Systems.
