Hall Pass Requests: Managing Passes that Require Staff Approval

Everything you need to know about creating, tracking, and approving cross-staff hall passes.

Managing student movement sometimes requires coordination between multiple school employees. Minga allows you to create hall passes that send an immediate authorization request to another colleague. By the end of this article, you will know how to issue these specialized requests and how to process incoming pass requests from your fellow staff members.

Creating a Hall Pass Requiring Approval

When you need to send a student to a destination managed by another staff member, you can request a pass that will not be assigned to the student until the receiving staff member approves the request. For example, a classroom teacher can request a pass to the counselor's office on a student's behalf.

Step-by-step Guide to Creating a Hall Pass Requiring Approval

MyClass Workflow (Teacher Focused)

  1. Navigate to MyClass using the left navigation sidebar.

  2. Select your class from the User List drop-down menu.

  3. Select the student(s) you want to assign a hall pass to.

  4. On the Search action drop-down, click Hall Pass.

  5. Find and click the hall pass type you wish to assign.

  6. Click the Advanced button.

  7. Type or find the name of the staff member who will approve the pass in the Approved by (optional) field.

  8. Press Assign and observe the Hall pass pending pop-up.

If you close the pop-up, the pending request will appear in yellow at the top of your MyClass dashboard until the request is approved by the receiving staff member or until the request expires.

My Tools Workflow (Optimal for staff without set classes or User Lists)

  1. Navigate to My Tools using the left navigation sidebar.

    • You can find the hall pass assignment options by opening My Tools from the main navigation menu.

  2. Click Hall Pass.

    • Clicking Hall Pass will open the configuration window to start assigning a new student pass.

  3. Select the Hall Pass Type and choose your desired time limit from the Pass Duration menu.

    • To configure the pass type, select your specific pass from the dropdown menu and set the duration limit.

  4. Select a staff member from the Approved By dropdown list, or type their name.

    • Choosing a staff member from the Approved By list determines who will approve this specific hall pass request.

  5. Add details to the Note field and click Next.

    • Adding a note provides the approving staff member with the necessary context before you click Next to proceed.

  6. Search or scan for the student.

    • To locate the correct student, type their name into the search bar or scan their digital barcode.

  7. Select the checkbox next to the student's name and click Assign.

    • Selecting the student checkbox and clicking Assign submits the pass request directly to the chosen approver.


Approving or Denying a Pass Request

When a teacher/staff member creates a Hall Pass that requires another teacher or staff's approval, the teacher/staff member will receive a pop-up message where they can approve or deny the requested pass.You have the option to also send a note to the requester when you approve or deny the requested hall pass.

The request will remain active until the Hall Pass request timeout duration (established in Hall Pass Settings) has elapsed.

Step-by-step Guide to Approving or Denying a Hall Pass Request

  1. Click Approve or Deny on the notification pop-up window.

    • When a colleague requests a cross-staff pass, you can authorize or reject it directly from the real-time notification screen.

  2. Optional: Type a message into the note field before submitting your choice.

    • Adding a note allows you to send a custom message back to the requesting staff member when you approve or deny the requested hall pass.

  3. Navigate to the Hall Pass Dashboard if the initial notification window disappears.

    • To find pending authorization requests after a notification closes, look at the active queue on the Hall Pass Dashboard.

Pro Tip: If you missed the pop up for the hall pass request, you can access it from your notifications. However, if you approved a request that has expired you will see an error message.


Troubleshooting

Issue: A pending hall pass request disappeared before I could approve it.

Solution: If a pending hall pass request disappears before you can click approve, you can access it through your notifications, if the request is still active.

If the hall pass request timeout duration has expired, ask the requesting teacher to submit a new pass request.

Issue: I do not see the specific teacher I need in the Approved By list.

Solution: If you do not see the specific teacher you need in the Approved By list, type their name into the field. The Approved By list is not an exhaustive list of available options and primarily shows the most used names.


FAQs

Can I add an explanation when I reject a hall pass request?

Yes! You can add an explanation when you reject a hall pass request by typing a message into the note field before you click the Deny button. The requesting teacher will receive your note along with the denial notification.

How long does a pass request stay active?

A pass request stays active until the designated hall pass request timeout duration configured by your school administrator runs out. If the timeout duration is reached without approval, the request automatically cancels and the hall pass will not be assigned to the student. Any passes that are requested and not assigned will not impact student hall pass limits.
